Who submits: all Westlink staff travelling overseas for any reason, regardless of security clearance level.
When: before departure. Allow at least 3–5 business days for Security Officer review.
What happens after:
- Briefing goes to the SO queue for review and sign-off (Section 3).
- You'll be notified when SO review is complete.
- On return, submit a debrief covering any security-relevant events during the trip.
- An SO certifies the debrief — this closes the lifecycle.
Need to amend an in-flight trip? Submit a new itinerary entry or contact your SO directly — don't delete the original.

Who submits: the person performing the disposal action, recorded against an authorising signatory.
When: after the disposal event is complete and (for Secure destruction) the certificate is in hand.
What happens after:
- Submission writes a row to the WMS Disposal Register SharePoint list.
- For Secure destruction, the certificate is uploaded to the paired SharePoint document library.
- A periodic sync surfaces the entry on the intranet Disposal Register page.
